Most showcase builds look effortless by the time a guest walks in. The walls are plumb, the lighting is clean, the brand mark sits exactly where the renders promised it would. What that polish hides is roughly six weeks of decisions — about materials, load paths, dock schedules, and the dozen small compromises that keep a concept buildable.

This is a walk through how our shop actually approaches a showcase build, start to strike. Not the sales-deck version — the production version, including where timelines usually break and what we do about it. It Starts With a Constraint, Not a Concept

The first conversation on a showcase build is rarely about what the piece should look like. It is about what the room will allow. Before we sketch anything, we want four numbers: the ceiling height, the freight elevator’s interior dimensions, the load-in window, and the floor load rating.

Those four numbers eliminate more design directions than any creative review will. A double-height archway is a beautiful idea in a Brooklyn warehouse with a drive-in dock. In a Midtown hotel ballroom with a 7-foot freight car and a 10 p.m.-to-6 a.m. load-in, it becomes a panelized structure that assembles on site — same visual result, completely different build.

  • Fire marshal requirements. NYC venues will ask for flame-certification documentation on fabric, foam, and often on painted substrates. Sourcing certified material adds lead time; sourcing it after the fact adds panic.
  • Rigging vs. self-supporting. Many venues will not let you hang from structure, or will require an in-house rigger at union rates. Designing self-supporting from day one avoids a five-figure surprise.
  • Power and data. If the build includes screens, lighting, or interactive elements, the power drop location determines where the structure can actually sit.
  • Strike deadline. A 2 a.m. hard-out changes how the piece is fastened. Screws come out faster than adhesive.

Sketching: From Napkin to Shop Drawing

Design development on a showcase build runs in three passes, and each one exists to kill bad ideas cheaply.

Pass one: concept sketches

Loose, fast, usually three to five directions. The goal is to find the idea, not to prove it. We deliberately keep these rough — a polished render invites clients to approve a shape we have not yet confirmed we can build.

Pass two: 3D model and renders

The selected direction goes into a 3D model with real dimensions, real material thicknesses, and the venue’s footprint as context geometry. This is where we catch the problems: a sightline that does not work from the entry, a bar return that blocks the service path, a header that clears the sprinkler heads by two inches.

Pass three: shop drawings

This is the document the shop actually builds from. Every panel, every seam, every fastener, every finish spec. Shop drawings get signed off before a single sheet of material is cut — and that sign-off is the hinge point of the whole schedule. Changes before it are cheap. Changes after it mean re-cutting parts that already exist.

Our approach here is shaped by the fact that we design and build under one roof. When the person drawing the piece can walk twenty feet and ask the person who will build it whether a joint is realistic, a lot of expensive discovery happens for free. That integration is a big part of how our company is structured.

On the Shop Floor: Materials, Tolerances, Finish

Build phase is where the schedule either holds or does not. A typical showcase structure moves through four stations.

  1. Cutting and framing. CNC-cut panels and dimensional lumber or aluminum framing. Structure gets built first because everything downstream depends on it being square.
  2. Skinning and substrate. MDF, PVC board, or acrylic depending on finish and weight. Weight matters more than people expect — a panel two people can carry installs twice as fast as one that needs four.
  3. Finish. Spray booth for lacquer and automotive-grade paint, or vinyl wrap where the graphic changes between activations. Vinyl is the right call more often than clients assume, because it lets the same structure carry a new campaign later.
  4. Dry fit. The whole piece gets assembled in the shop before it ships. This is non-negotiable. Finding a misaligned panel on the shop floor costs an hour. Finding it at 1 a.m. in a loading dock costs the install.

Material lead times are the quiet risk. Standard sheet goods and framing are stocked and same-week. Specialty finishes are not: custom-color solid surface runs three to four weeks, printed textiles with flame certification two to three weeks, and anything requiring a custom extrusion should be assumed at six-plus. When a project comes in at four weeks out, we are not saying no to the design — we are steering it toward materials that exist today.

Install: The Part Nobody Budgets Enough For

Install is where a build meets reality, and it is consistently the most underestimated line item in an event budget. As a planning rule, expect install and strike labor to run roughly 20 to 25 percent of the fabrication cost for a mid-size showcase build — higher in union houses, higher again for overnight-only load-in.

What actually makes install go well:

  • A site walk before the truck is loaded. Measure the door, the elevator, the turn at the end of the corridor. We have seen more builds delayed by a 90-degree turn than by anything structural.
  • Labeled, sequenced crates. Panels packed in reverse install order. The crew should never be digging.
  • A dock time that is actually confirmed. Not requested. Confirmed, in writing, with the venue’s operations contact.
  • Touch-up kit on the truck. Matching paint, matching vinyl offcuts, filler. Something will get scuffed in transit. Every time.
  • A named decision-maker on site. When a wall needs to shift eight inches to clear a sprinkler, somebody has to say yes at 3 a.m.

Strike, Storage, and Building Something Twice

The last decision on a showcase build is made at the beginning: is this piece meant to live once, or several times?

A single-use build can be fastened and finished for speed — adhesive, permanent joints, painted-in-place seams. It strikes fast and goes in a dumpster. That is genuinely the right answer for some one-night activations, and we would rather say so than sell a client reusability they will never use.

But if a brand is running the same activation across four markets, or bringing a booth back to the same show next year, the build should be engineered as a kit from the start: mechanical fasteners, keyed panel connections, crates designed around the panels, and graphics on a changeable layer. The upfront cost runs maybe 15 to 20 percent higher. The second deployment costs a fraction of a new build.

Storage is the other half of that math. A palletized kit takes real warehouse space, and that carries a monthly cost. It is worth it when a redeployment is on the calendar. It is money burning quietly when there is not one. We ask the question directly at kickoff, because it changes the drawings.

Every design decision on a showcase build is really a logistics decision wearing better clothes. Get the dock, the elevator, and the load-in window right, and the creative has room to be ambitious.

Six to eight weeks from approved concept to install is the comfortable window. That covers design development, shop drawing approval, material lead times, build, and a dry fit. Four weeks is workable but constrains you to in-stock materials and standard finishes. Under three weeks, we would steer you toward a modified rental or a simpler scenic approach rather than a custom build.

In rough order: size and structural complexity, finish quality, install labor, and changes after shop drawing approval. That last one surprises people. A design change once material has been cut can add 10 to 20 percent to a project because parts get remade and the shop schedule shifts. Locking the drawings is the single most effective cost control available to you.

Every install truck carries a touch-up kit — matched paint, vinyl offcuts, filler, and spare hardware. Minor transit scuffs get repaired on site as a matter of course. For structural damage, panelized construction means we can usually swap a single panel rather than compromise the whole piece, which is one more argument for building modular.
