Pre-Event Site Visits: What an Event Producer Looks For

The site visit is where a budget survives contact with reality. On paper a venue looks perfect: the square footage works, the photos are gorgeous, the room holds your guest count. Then you walk it, and the only power drop is a single 20-amp circuit behind a locked panel, the freight elevator is out of service until August, and the gorgeous atrium ceiling has no rigging points anywhere near where you wanted the banner. None of that shows up in a floor plan.

A good producer treats the walkthrough as a data-gathering mission, not a formality. The goal is simple: leave the room knowing exactly what you can build, what it will cost to power and rig, and where the timeline is going to fight you. Here is the checklist we run on every site visit, and why each item earns its place.

Power: the line item that quietly breaks the timeline

Power is the first thing an experienced producer asks about and the last thing most venues volunteer. A room can be beautiful and still have nowhere near enough distributed power for a modern production load. Before you commit to a lighting rig, an LED wall, live catering, or a DJ, you need to know three things: how many amps are available, where the circuits physically live, and who controls access to the panel.

Walk it with a list of your real loads. A single LED video wall panel array, moving-head fixtures, powered speakers, and warming stations add up fast, and they rarely share a circuit gracefully. Ask specifically:

  • Service size and spare capacity — total amperage available to your event, not the building. A 200-amp service already carrying HVAC and house lighting has far less headroom than the number suggests.
  • Circuit locations — how far is the nearest drop from where you want your stage, bar, and DJ booth? Long runs mean more cable, more ramps, and more labor.
  • Tie-in vs. distro — can you tie into house power with a licensed electrician, or are you renting a generator? That single answer can move a budget by thousands.

If the honest answer is “not enough,” that is not a dealbreaker — it is a planning input. Generators, distro, and shore power all solve it, but they have lead times of one to three weeks and they change your load-in. Better to learn it on the site visit than the morning of the build.

Dock access and the freight path

Everything you build has to physically get into the room, and the freight path decides what is possible. This is where ambitious designs meet loading docks that were sized in 1974. Trace the entire route a crate will travel, from the truck to its final position on the floor, and measure the tightest point.

The critical measurements:

  • Dock height and truck access — is there a real loading dock, or are you hand-carrying everything up a curb and through a lobby? In much of Manhattan the answer is the lobby, and that reshapes crate sizes and labor hours.
  • Freight elevator dimensions — interior width, depth, height, and weight limit. A 9-foot bar top does not fit in an 8-foot cab, and no amount of optimism changes that.
  • Door widths and turning radius — the doorway a piece clears and whether it can actually make the turn in the corridor beyond it.
  • Load-in windows and union rules — many NYC and Boston venues restrict load-in to specific hours and require house labor. That governs your entire schedule.

When the freight path is tight, the fix usually lives in the build itself. Modular, knock-down construction that assembles on site is the whole point of smart custom event fabrication — a structure designed to ship flat and build in the room beats a monolithic piece that cannot clear the door every single time.

Ceiling height, rigging, and what you can actually hang

Ceiling height is one of the most misread numbers on a site visit. A soaring ceiling reads as opportunity, but height without certified rigging points is just headroom. What you can suspend — banners, truss, lighting, a step-and-repeat header, drape — depends entirely on where the load-rated points are and how much each one holds.

On the walkthrough, separate the two questions cleanly:

  • Clear height — floor to the lowest obstruction (ductwork, sprinkler heads, light fixtures), not floor to the peak. Your usable height is the lowest thing in the way.
  • Rigging points and ratings — where are the certified points, what is the working load limit of each, and does the venue require a structural sign-off or a licensed rigger?
  • Ground-supported alternatives — if overhead rigging is off the table, can you build free-standing truss or towers instead? That decision changes both the look and the floor plan.

Rigging restrictions are common at corporate venues, hotels, and historic buildings, and they are exactly why so many corporate events lean on ground-supported structures. Knowing the constraint on the site visit lets you design for it instead of scrambling to re-engineer the centerpiece two days out.

Sightlines: design for the back row, not the render

Sightlines are the difference between a room that feels intentional and one where half the guests crane their necks. The rendering always looks perfect from the ideal camera angle. Your audience does not sit at the ideal camera angle — they sit in the back corners, behind columns, and off to the sides.

Walk the room from the guest’s perspective:

  • Stand where the last row will be and confirm the stage, screen, and any key branding are actually visible over standing or seated heads.
  • Find the columns, chandeliers, and low soffits that will block views, then plan seating and screen height around them.
  • Check screen and stage height — a screen that sits too low disappears behind the third row. Raising it may require more rigging or a taller ground-supported structure.
  • Think about the photo and video angles — where cameras live and what ends up in the background of every shot, especially for branded moments and step-and-repeats.

Good sightlines are designed in during the site visit, not fixed on show day. Once you know the obstructions, the stage height and seating plan almost draw themselves.

The walkthrough checklist: what to bring and who to bring

A productive site visit is a short one, and that only happens when you show up equipped. Bring a laser measure, a tape, a camera or phone with plenty of storage, the current floor plan, and a running list of your power and rigging loads. If the build is complex, bring the person who will actually fabricate and install it — a producer and a fabricator see different problems in the same room.

Capture, at minimum:

  1. Room dimensions and ceiling clear height, measured, not quoted.
  2. Power: service size, circuit locations, panel access, tie-in vs. generator.
  3. Freight path: dock, elevator, door widths, turning points, load-in hours.
  4. Rigging points and working load limits, or confirmation that none exist.
  5. Restrictions: union labor, decibel limits, adhesive and wall-attachment bans, fire-marshal requirements, insurance and COI needs.
  6. Photos of every wall, corner, and obstruction — you will reference them constantly during design.

Ask for the venue’s own AutoCAD floor plan and a copy of their rules and regulations packet. The gap between what a venue says on a call and what its written rules require is where surprise costs hide.

Turning the visit into a build plan

The site visit is only valuable if it changes what you build. Every constraint you documented becomes a design input: undersized power means a generator line item and a revised load-in; a tight freight elevator means knock-down construction; no rigging means ground-supported towers; a columned room means a reworked seating plan and a raised screen.

This is where fabrication and production come together. When we scope a project, the walkthrough findings feed straight into the drawings — piece sizes are set to clear the freight path, power draw is matched to available service, and structures are engineered for the rigging reality of that specific room. Do the site visit early enough that its findings can still influence the design — ideally four to eight weeks out for a custom build. A walkthrough the week of the event only tells you what you cannot change.
